MANAGEMENT STRUCTURE OF CONCERNED PATRIOTS INTERNATIONAL CLUB
The Concerned Patriots International Club is run and managed by executive committee of the club known as and called the ‘’CHANCERY’’
Roles and Responsibilities of the Chancery
The club Chancery, consisting of all the elected officers including the Legal Adviser and one Ex-official member nominated at a general meeting, in accordance with the constitution, whose term of office shall be for a period of three (3) year, has a responsibility to the club and its members. Each Chancery member is expected to perform specific roles and act with the club’s best interests at heart.
The Chancery has the overall responsibility of seeing that the club runs smoothly and effectively. It controls the direction in which the club moves and acts to oversee the day to day running of the club. The club’s plans, directions and goals are initiated and guided by the strategies implemented by these chancery members. Among these tasks they should also:
- Create and administer action plans
- Develop policies and procedures
- Keep the club’s members informed of all club activities, including the outcome of executive meetings and forthcoming events through open communication (WhatsApp, e-mails, web portals and regular meetings).
- Acknowledge the needs of club members.
- Ensure that funds raised are well managed and used to further develop the club and its members.
- Maintain good relationship within the local community.
- It shall deal with or treat any other matter or issues referred to it.
- Decisions of the Chancery shall be subject to approval by the general house of the club.
- All outgoing Executive Committee members shall handover any of the associations’ document(s) and propriety in their possession with a proper handover document to the incoming Executive committee members. The handover documents shall be signed by both Executives and deliver a copy to the Chancery of the incoming Executive Committee within one month after the inauguration of the new Executive. The handover note shall be accompanied with a comprehensive inventory and particulars of the items being handed handed over.
The Chancery is comprised of the following elected officers:
- The Chancellor
- Vice Chancellor
- Chief Scribe
- Scribe
- Financial Co-Ordinator
- Exchequer
- Public Relation Officer (P.R.O)
- Chief Whip
- Director of Socials
- Legal Adviser
- Ex-Official
COMMITTEES
Standing-committees are established to assist the Chancery with specific portfolios. The chancellor appoints members into different committee with approval of members in a general meeting. All actions proposed by the Committees should be pre-approved by the Chancery before they are undertaken, to ensure that the well-being of the club is maintained. However, the Committees should be authorized to make operational decisions within their terms of reference. The progress of the Committees should also be monitored by monthly reports submitted to the Chancery for review at general meetings.
The following are the Standing Committees stipulated in the club’s constitution
(i) Membership/Screening Committee
(ii) Welfare Committee
(iii) Disciplinary Committee
(iv) And such Ad hoc Committee that may be allowed with the approval of Members or in accordance with the club Constitution for the purpose of the smooth running of the Club.
Board of Trustees
The Board of trustee comprise 7 registered trustee members constituted in accordance with the club’s constitution. The board is responsible for developing and approving the club’s mission, strategic goals and objectives. The Board is also responsible for holding in-trust all Properties or any other assets of the Club (lands belonging to the club and acquire property on behalf of the association), subject to regulations and conditions by the Corporate Affairs Commission.
